The short answer

Which CRM should I use with WordPress?

It depends on the job the CRM must do. If email marketing and automation are the centre of your work, FluentCRM is built for that and has a free version and the lowest first-year price. If marketing automation with add-ons is the goal, Groundhogg sells it in four tiers. If you want a free CRM with quotes, invoices and a client portal, Jetpack CRM's free core is the place to start. If you have a larger sales team and want a hosted CRM, HubSpot has a free plan for up to 2 users. If you also need HR and accounting, WP ERP is a free suite with a CRM module.

Choose ItNirman CRM when you sell services and run client work on WordPress: leads, quotes, invoices, a client portal with no login, monthly client reports, agency finance, bKash and Nagad payments and a Bangla interface, in one licence with your data on your own site. It has no free version, no WooCommerce integration and a small community.

The real differences

How These CRMs Actually Differ

What the CRM is built around

FluentCRM and Groundhogg are built around marketing: lists, email and automation. HubSpot is built around a sales team and its seats. WP ERP is built around the whole business: HR, CRM and accounting. Jetpack CRM is built around contacts with quotes and invoices. ItNirman CRM is built around the work after you win a client: the portal, the monthly report, the invoice, the payment and the profit.

Where your data lives

The six WordPress-based tools keep data in your own database. HubSpot, Pipedrive, Salesforce, Zoho, HoneyBook, Dubsado and SuiteDash keep it in their clouds. Keeping it on your site means your own backups and no per-seat bill, while a hosted CRM means nothing to install or maintain.

Free and paid

Jetpack CRM, FluentCRM, Groundhogg, WP ERP and FunnelKit all have a free plugin and HubSpot has a free plan. HoneyBook, Dubsado, SuiteDash, Pipedrive and Salesforce offer trials, and Zoho CRM has a free edition for 3 users. ItNirman CRM has none. In exchange, every feature is in every plan and Single and Business differ only in the number of sites.

How the price grows

HubSpot and Pipedrive grow with each seat, Salesforce, Zoho and WP ERP with each user, and HoneyBook, Dubsado and SuiteDash with each plan. Groundhogg grows with each tier. Jetpack CRM grows with each extension. FluentCRM grows with the number of sites. ItNirman CRM grows only with the number of sites.

Maturity

FluentCRM has more than 80,000 installs and Jetpack CRM more than 30,000. ItNirman CRM is newer with a smaller community. If years of tutorials and integrations matter most, that counts for the established tools.

Switching

Moving Between CRMs Is Not Scary

ItNirman CRM imports leads from CSV, and moves between sites with its own backup and restore. Try it on a staging copy first.

  1. 01

    Make a staging copy

Test there first. Addresses ending in .local or .test never use a licence slot.

  2. 02

    Export from your CRM

Download contacts as a CSV, and keep your invoices and quotes for your records.

  3. 03

    Import and check

Import the CSV as leads, then review clients, invoices and payment history by hand.

  4. 04

    Switch in stages

Keep the old CRM until your team has used the new one for a few weeks.
